Administrative Assistant

Full-Time Position: 40 Hours Week

Hourly: $26 - $29

FLSA: Non-Exempt

Working Hours:

Monday-Friday 7:00 a.m. – 4:30p.m.

(Hours will vary as needed)

Reports to President

Job Summary

The Administrative Assistant will serve as a key support resource for the President and leadership team. This individual will be responsible for managing a variety of administrative tasks, preparing reports and presentations, coordinating company communications, and developing creative ways to keep employees informed and engaged. The ideal candidate is highly organized, detail-oriented, technologically proficient, and possesses strong written communication and creative skills.

Key Responsibilities Executive Support

  • Provide direct administrative support to the President and leadership team.
  • Prepare reports, presentations, spreadsheets, and other business documents as requested.
  • Assist with special projects and company initiatives.
  • Maintain organized records and confidential information.

Internal Communications & Employee Engagement

  • Develop and manage the company's monthly newsletter.
  • Create engaging content highlighting employee achievements, company milestones, project updates, safety initiatives, and upcoming events.
  • Identify and implement creative communication strategies to improve employee engagement and company-wide communication.
  • Coordinate employee spotlights, announcements, and internal communications.
  • Assist with planning company events, recognition programs, and team-building activities.

Administrative Operations

  • Create and maintain professional documents, forms, and templates.
  • Assist with data entry, filing, and document management.
  • Support HR with onboarding tasks and employee communications as needed.
  • Assist with tracking and compiling operational metrics and reports.

Qualifications:

  • Associate’s degree or equivalent from a technical school or university

  • Minimum 2 years of administrative, executive assistant, office management or related experience

  • Strong written and verbal communication skills

  • Detail-oriented with strong organizational abilities

  • OneSource Level2+ Certified

  • Ability to maintain confidentiality

  • Proficiency in Microsoft Office Suite: Word, Outlook, Teams, SharePoint, Excel and Power Point

Preferred

  • Experience creating newsletters, company communications, or marketing materials.
  • Experience with Canva, Adobe Creative Suite, or similar design platforms.
  • Experience supporting executive leadership.
  • Knowledge of social media, employee engagement programs, or internal communications strategies.
